1. Who controls your data

This policy applies to the public website, its contact form and direct email correspondence initiated through it.
2. What data is processed and why
Contact enquiries
When you use the form, the controller receives your name, email address, message and the information you choose to include. These data are used to answer the enquiry, discuss potential cooperation and, where relevant, take steps before entering into a contract.
The legal basis is your consent under Article 6(1)(a) GDPR and, when the enquiry concerns a possible contract, Article 6(1)(b) GDPR. Correspondence may also be retained where necessary for the controller’s legitimate interest in documenting communication or protecting legal claims under Article 6(1)(f) GDPR.
Technical requests
The server temporarily processes standard connection information such as IP address, request time, requested path, response status and browser identification. This is necessary to deliver the website, prevent abuse, diagnose faults and maintain security. The legal basis is the controller’s legitimate interest under Article 6(1)(f) GDPR.
3. Website technology and recipients
The website does not use analytics, advertising trackers, profiling tools or marketing cookies. It does not load third-party fonts or social media widgets.
A strictly necessary session cookie is created when the contact form requests an anti-forgery token. It protects the form against cross-site request forgery, is not used for tracking and expires with the browsing session.
Enquiries are transmitted through the controller’s own mail infrastructure. Data may be processed by technical hosting, server administration or email providers only to the extent necessary to operate those services and under applicable data-protection obligations.
The controller does not sell personal data. Data are not used for automated decision-making or profiling. If a service provider processes data outside the European Economic Area, appropriate safeguards required by law will be applied.
4. How long data are kept
Contact enquiries are kept only as long as needed to respond and manage the matter. If no cooperation follows, correspondence is normally removed when it is no longer useful, unless a longer period is required to establish, exercise or defend legal claims. Data connected with a contract may be retained for periods required by tax, accounting and limitation laws.
Server security logs are retained for a limited operational period and then rotated or deleted. Anti-abuse rate-limit records contain a one-way identifier and timestamp and expire automatically.
5. Your rights
Depending on the circumstances, you may request access to your personal data, correction, deletion, restriction of processing, portability, or object to processing based on legitimate interests. You may withdraw consent at any time without affecting processing carried out before withdrawal.
To exercise a right, email contact@beam-soft.pl. The controller may need to verify your identity before acting on a request. You also have the right to lodge a complaint with the President of the Personal Data Protection Office in Poland.
Providing data in the contact form is voluntary, but without a name, reply address, message and consent the controller cannot answer through the form.
6. Security and policy changes
The website uses encrypted HTTPS connections, server-side form validation, anti-forgery protection, rate limiting and restricted access to configuration. No internet transmission can be guaranteed absolutely secure, but proportionate technical and organisational safeguards are used.
